Spring is here
and I’m sure everyone has heard the term “spring cleaning.”
Some of you may have noticed a message or maybe several messages
in your e-mail inbox from the “System Administrator” with the
subject line “Your mailbox is over its size limit.”
This is an
automated message that our e-mail server sends out if your
mailbox size has exceeded its set size limit. Most of the time
we here in ITS find that users are surprised to find that when
they delete a message it is only moved to a deleted items folder
and is still taking up space in their mail account. To delete
the messages for good you need to right click on your “Deleted
Items” folder and left click on “Empty Deleted Items Folder.”
This will delete the deleted items from your mail account
permanently and free up space.
Another area
often overlooked is the “Sent Items” folder. Checking these
folders and clearing up old e-mails that are no longer needed
can help keep you organized and your mailbox from going over the
limit.
If after you have
cleared out your mailbox and find you are still over your
mailbox size and you do not want to delete any more mail there is
the option of personal folders. Personal folders can be added
to your account to save e-mail messages you need to keep but do not need
to access from off campus. Personal folders reside locally on your
computer instead of taking up space on the e-mail server. If
you would like to set up personal folders, please fell free to
call our helpdesk at extension 711 and they will walk you thru
the process of setting the folders up or set up a work order to have one
of our staff drop by and help you create the folders.
