Minutes 01/23/08

Those present:   Sharon Brown, Dr. Salisbury, Darlene Francis, Chip Hare, Sean Ford, Sandy Brubaker, Brent Adkins

Those absent:  Larry Dragosavac, Chris Sargent

Team Leader:  Darlene Francis

Charge of team:  To study policies and procedures impacting the operation of the college weight room, including hours of service, staffing, safety concerns, and equipment maintenance and replacement.

Time line:  October 2004

Minutes:

Dr Salisbury opened the meeting by reviewing the purpose of this team and the need to evaluate whether the team could be retired and the responsibility of the fitness center be turned over to an individual.  The following questions were submitted by the team: 

  1. Are we currently tracking the number of people using the Fitness Center?
  • No.  Although it is felt that more people are indeed using the facility, the group agreed that we need a more measurable method of determining usage.  Brent suggested that we track usage with a reflective counter.  Brent will look into obtaining one.

  1. Is there a phone in the room for emergencies?
  • Yes

  1. Is there a camera in the area?
  • No.  The original purpose of needing a camera for safety and security due to the isolation of the old weight room is no longer an issue.

  1. Are we addressing cleaning and maintenance issues related with the equipment and facility?
  • Yes.  We now have quarterly preventive maintenance visits scheduled with the Fitness Store.  Monies are budgeted for repairs through the SHS budget.  Routine cleaning of floors, windows, mirrors may need to be put on some kind of cleaning schedule.  Darlene will talk with Bill Meyers.

  1. How are we promoting the Fitness Center?
  • The Fitness Center is promoted during new student orientations, facility tours, restroom newsletters, flyers promoting exercise programs and the TV news line by the information desk.  Sean suggested he could put information out on Blackboard.  Darlene will meet with him.

  1. Do we have signage posted regarding health concerns and physical activity?
  • Yes.  There is a large poster on an easel that cautions people to see their physician before engaging in any form of exercise if they have certain health problems or physical symptoms.  The rules and regulations for facility usage are also posted on a bulletin board in the area.

  1. Do we need to have Darrel Isaacs check with the college’s insurance carrier to determine if we have covered all liability issues related to the Fitness Center?
  • Yes.  The group thought it would be a good idea to have this done.  Darlene will talk to Darrel about contacting the insurance carrier.

  1. Do we want to change the hours of operation of the Fitness Center, currently 8am-8pm?
  • No.  At this time, there is no reason to make any changes.

  1. Do we want to repeat the Zoomerang survey we conducted in 2005 and if so, is there anything we want to change on the survey?
  • Yes.  With some minor revisions to original questions and the addition of 3-4 new questions regarding satisfaction, cleaning, and programs, the group thought it would be helpful to repeat the survey.  Results of the survey will be emailed to team members.  Darlene will make the revisions and work with Sean to send the survey out.

  1. There was a concern voiced about the kickboxing bag in the aerobics room scratching the wood floor.  Darlene thought that the bag had already been fixed with a felt pad on the base, but she will make sure that no further damage is occurring to the floor.

It was decided that the team would not need to meet again unless Darlene thinks it is necessary after the survey.  The Fitness Center operations will be turned over to Darlene Francis to manage.

Assignments:

  • Brent Adkins to find a reflective counter for placement in Fitness Center.

  • Darlene Francis to work with Bill Meyer on development of a cleaning schedule for the Fitness Center and Aerobics room.

  • Darlene Francis will work with Sean Ford on advertising and promoting the Fitness Center on Blackboard.

  • Darlene Francis will talk with Darrel Isaacs about contacting the college’s insurance carrier regarding liability issues in the Fitness Center.

  • Darlene Francis will make revisions to the Zoomerang survey and send to Sean Ford.

  • Darlene Francis will check on the kickboxing bag to make sure the base is not causing any more damage to the floor.
