Those present: Sharon Brown, Brent Adkins, Mike Burns, Terri Jacomet, Mona Walters, Shirley Apple, Helen Wilcox, Nancy Shuler, Betsy Kondall, Keith Kamerer, Jane Salisbury

1. Past meetings were summarized and intent of day established. Goal was to
summarize what had been implemented in the new purchasing process and to determine changes needed. Also, criteria for measuring effectiveness of
process were to be established.
2. Summary of what is:
A. Purchase order component is available on-line.
B. Vendor selection component is on-line.
C. Receipt/accounts payable component is on-line.
All are integrated into and compatible with the Datatel system.
D. The budget responsible people seem to be effective in their roles, at least
on paper.
E. Training is going on for a phase in of on-line requisitioning and budget
approval.
3. Thus far, training to use the on-line has been given to Diane Arnold, and the
Bookstore personnel. More training will be given to key office personnel in September. Hopefully all training of key offices will be completed by late September, and budget approval training for those responsible will be completed by mid-October. The approval process will then be phased in.
By January 1, 2002 all aspects should be on-line and functional as well as
personnel appropriately trained.
4. Criteria for measuring effectiveness of the process were discussed.
Immediately measurable would be turn around time for processing from
Requisition to placing order with vendor. A goal of four days or less was established. Other concerns were discussed but no criteria solidified: accuracy issues, requisition vs. invoice amounts, management of shipping prices, overages, management of blanket PO’s and time elapsed business. The entire arena of purchase commitments outside the standard purchasing process was discussed.
