Graduation Check Process Team

Team Members: Linda Verceles, Nancy Rush, Janet Cook, Patti Ross, Maggie Myers, Sherri Clark, Jane Salisbury (facilitator).

Team Charge: To review and to make recommendations on the process used to complete graduation checks.
1. Meeting was called to order and the initial discussion clarified the rationale for the team formation and its intended role. Numerous questions related to philosophical differences between transfer and technical faculty, workload, familiarity with assigned advisees, and necessity of faculty input were broached.
2. Subsequent questions needing to be addressed were as follows:
A. What is currently in a complete student file and what additional
documentation is needed for faculty to complete the graduation check process? Maggie Myers suggested the following: credit information gained by exams; certifications and/or prior learning; a current transcript; a current schedule; course substitution forms, if applicable; and portfolio materials, if applicable. The question was raised about the role Datatel access could play in providing this data.
B. If Datatel plays a major role in the acquisition of needed data, then
what are the training needs of faculty, the access capabilities of faculty, and is adequate software loaded onto faculty computers allowing them to access and to print the needed materials? When could training be given to faculty? How will on-line registration and the degree audit modules impact this process once they are implemented?
C. Specifically, how are transfer students assigned advisors? If there is
no assigned advisor in the computer system, what criteria are used by those assigning at the last minutes?
3. Team members determined their first step was to survey faculty on the document needs for a complete graduation check packet. Janet Cook will prepare a survey-type request with a deadline for return of April 15. It will be sent to all faculty, all deans, enrollment service personnel, and to Janice Michael and Rhonda Rich in Darke County.
Maggie Myers will keep the team informed of progress toward degree audit implementation and the parameters of impact upon staff. She will also verify the process for academic advisor assignment, especially considering circumstances of changed majors and therefore, needed changes in advisors.
Sherri Clark will forward to all team members her step-by-step process for tracking the completion of a graduation check.
