External Events Planning Team
Minutes - November 17, 2003 Meeting
Members Present:

Purpose of Meeting:
Review effectiveness of External Event Planning Guidelines, which
were implemented January 2002
Discussion:
1. Is the process working?
Members present feel the process is working fairly well—based on the
experiences of attending members.
2. If an employee is a first-time event-planner, how does he/she learn
about the Events Planning Guidelines?

Members concluded a
more concerted effort needs to be made in this regard. Deans and
supervisors will be asked to remind event-planners about the guidelines.

An explanatory note
about the guidelines and a how-to-locate the guidelines do appear on the
“Facility Use Request Form” that all event-planners must submit.
(However, the process for locating the guidelines online appears to have
changed; Chris S. will update the wording on the “purple form” and
forward to Carol Rigola.)

Phone extensions need
to be updated on the guidelines. Beth C. will do and forward to Carol
Rigola.

Members agreed a
reminder about the existing guidelines should be sent to all employees.
Beth will do.
3. Jane Salisbury
discussed the work she is doing in relation to assessment and CQI. She
will need to document the success of selected events and activities. She
will rely on supervisors of these events to provide her with needed
data.
