Attendees:      Sandy Brubaker, Gail Lee, Carol Marion, Ann Miller, Bert Waldrop, Harry Lawhorn, Chuck Steel, Jeff Collett and Dr. Jane Salisbury, CQI Process Coordinator 

As preparation, I asked the committee representatives to meet with their staff and peers to poll and bring to the table what they visualize their main objectives for Student Email and WebAdvisor to be and why the objectives are important to them as end users. 

Prioritized End User Objectives: 

                        From the Student standpoint a survey was distributed to our end users with the following responses:

·         Email communication between Instructors and Students

·         Advising Office - Email with Students

·         Email with other students

·         Instant Messaging

·         Conferencing

                        Marketing Communication – Email communication with:

·         Current Students

·         Alumni

·         Prospective Students

020 Perspectives:

·         Substantial cost savings in communication

o        Hard copy grade mailers, consumables

o        Postage

o        Hourly wages

o        Alleviate storage problems dealing with hard copies

Faculty Perspective:

·         Classroom Distribution Lists

·         Yahoo and Hotmail accounts difficult to manage

·         Spam – Student email ending up in SPAM folders

·         Irregular naming convention with student accounts

·         Non-valid student email accounts

                        ITS Perspective:

·         Yahoo and Hotmail – Little expense but no control – as long as the email is used and checked daily – what difference does this make?  Also, Edison adjunct faculty members all have Edison email accounts, however, they would like their email forwarded to their Yahoo or Hotmail accounts – accounts they access daily.

·         Consistent naming conventions

·         Would need another individual to manage additional 3,000 users on Exchange a new Exchange server ($20,000 for the hardware).

·         Comply with audit request to eliminate the generic “student/edison” logins

·         Provide students with “Z” drive storage

Where do we currently stand?

                        EDX and LDAP

·         Information Technology Services has everything they need (included in the Datatel Software that we currently have) to create in real-time student email accounts through EDX.  The accounts would have:

o        Consistent naming conventions

o        No problem with creating 3000 + accounts

o        The accounts would sync with WebAdvisor/Blackboard, meaning having the same user names and passwords

o        Created by Enrollment Services at time of registration and triggered as available for “paid students” only

o        Created by Enrollment Services at time of registration

o        Access is for semester they pay

o        Mass communications and student distribution lists can be accessed and managed through the Communication Module of Datatel.

o        Push for all students to provide/update their records with a valid email address

o        Satisfy the auditor’s requirements by indicating a forward motion for student email accounts and network logins

Committee Buy In:

·         ITS will continue its efforts to open the lines of communication within WEBAdvisor.  This will be done by comparing the list of needs provided by Sandy Brubaker with the components offered by WebAdvisor.  ITS will analyze the needs and take the appropriate steps necessary to gain results and satisfy the needs of the end user.

·         ITS will analyze and evaluate the system we now have in place to handle student email accounts.

·         ITS will have in place by the summer of 2006 a fully functional test environment for the student email process.

·         ITS will provide training for faculty and staff on how to effectively use the student email accounts located within Blackboard until the Datatel process is complete.

·         Student Development to develop a college wide effort to request updated student account information to include valid email addresses.  Major focus to begin with the fall semester.

Committee Recommendation:

 ·         Place the student “edisonohio.edu” emails on hold until we evaluate and analyze EDX.

·         Continue with college-wide efforts to populate and update and correct the student email entries within Datatel.

·         Continue to open links to maximize WebAdvisor use.

·         Update our Exchange server (Approx. $8,000), moving existing exchange server to DCC for use as a Domain Controller.
