Meeting Minutes

The team
reviewed the action project goal statement, the reasons for the action
project at this time, and plans to monitor progress of the action
project. After review, there was discussion that personal information
security not only involves the storage and access to records but proper
disposal of records when they are no longer needed. By consent, several
additions were made to the wording to reflect the discussion. Under
paragraph B, line 3, “state and federal requirements” was inserted after
HIPAA. Under paragraph D, line 5, “and record disposal” was added
after “time for retaining records.” Under paragraph F, line 3, “and
disposal” was added after “security”. Dr. Salisbury will make the
changes and any other technical corrections before posting the project
on the website.
The remainder
of the session was spent discussing specific information needs and
storage practices from different departments and disciplines to
determine what needs are unique to each department. Needs within the
Early Childhood Education program, the Child Care Center, Human Services
program, Nursing, Disabilities Services, and Financial Aid are generally
determined by the mandate to meet state and federal requirements.
Policies for record retention in Admissions and Enrollment Services are
determined internally; for the Human Resources office, it is a mix of
employment mandates and internally developed practice. The document
provided by Natalie Rindler of HR practices was adopted as a template to
organize the information gathered during the session as a way of
beginning to examine practices across the campus.
