Criterion 3: Understanding Student and Stakeholder Needs

Minutes ~ June 6, 2006

Present:          Sandy Brubaker, Becky Telford, Terri Jacomet, Jane Salisbury

Absent:           Dick Bollenbacher, Jill Malolepszy, Jack Kramer

Discussion:

  • Sandy reported how the Marketing Committee had reviewed the survey and the goals of the committee, making a few suggestions to the survey questions, which were distributed at this meeting for review.  Discussion in  marketing centered around distribution and the following ideas were generated:
    • Mailing (would have to mail 12,000 to get 500-600 responses)
    • Paper Inserts (too little return for too much cost)
    • Strawberry Festival (would have to have personnel & clipboards)
    • Piqua Brown Bag Lunch (July)
    • Schedule Booklet (people viewing it are already favorable about ECC)
  • Marketing committee recommended that students call a randomly picked sample of people to obtain the data.  Sandy suggested that student workers in Student Development could make the calls.  Data will be entered into Zoomerang for compilation.
  • Further changes to the survey and script were made by AQIP 3 members.
  • Dr. Salisbury reminded the committee about timelines and suggested that data is gathered this summer and related implementations are made in the fall.  As these implementations are designed, the committee needs to be able to determine how these are being effective by statistics, not anecdotal means.
  • Sandy handed out a flowchart of current admissions communications channels showing an initial letter to prospective students followed by a 30-60-90 day communication cycle and explained that a suggestion from the marketing committee was to call those people who had received the full cycle of communication but who had still not applied/registered, asking them their reasons for not enrolling.  The Admissions Department would coordinate these efforts, utilizing student workers.  Dr. Salisbury agreed that this would be a good second project for the AQIP 3 committee.

Actions:

  • Becky will access internet phone databases in order to retrieve 700 randomly selected individuals and their phone numbers from the three county areas.
  • Sandy will coordinate the student call center.
  • Sandy will meet with Admissions to begin coordinating the calls to those who have completed the admissions communication cycle but who have not yet applied/registered.
