I. The agenda was accepted without changes.
II. The minutes from the November 26, 2002 meeting were approved.
III. Maggie reviewed the process for the academic alerts as it stands
right now.
a. An email is sent out to all faculty members reminding them of the
academic alert process. The President’s memo is attached.
b. Academic alerts are completed by faculty and returned to the ARC for
follow up
c. Students, if still enrolled in the class, are contacted by telephone
by ARC advisors to discuss the concerns of the faculty and to make any
appropriate referrals.
d. After two calls, if advisors are unable to contact the student then a
letter goes out to the student, signed by the Director of Advising,
addressing the faculty concern and making several recommendations for
improvement.
IV. Handouts showing fall success rates were distributed. The success
rate of the overall population in Fall 2001 was 76.45% and the same
success rate for Fall 2002 was 75.84%.
The success rate of the students who received an academic alert was 42%.
There were 52 alerts and 22 successful responses to the intervention.
There was discussion as to whether or not the alerts are effective at
this rate? The alert process is a very time consuming one, is the
success rate worth the work? i.e. hours vs result. What is our liability
if we do not tell the students they are not doing well in the class?

V. It was brought to the attention of the committee that several faculty
members turned in the academic alerts after the drop deadline. The
committee decided that there is no need to follow up on late
submissions.
VI. The committee decided by consensus that we should continue this
process, evaluate success rates for spring, and revisit the issue in the
fall. The procedures should remain the same, however, in the reminder
email, deadline dates should be included. The hours vs. result concern
was a main concern of the committee.
Maggie should bring this issue to Dean’s Council, to request that the
adjunct faculty be reminded/informed of the academic alert process in
the orientation meetings at the beginning of each semester.
VII. The next meeting will be in the fall. The date is TBA however, if a
discussion via email will suffice, the committee will not have to meet
at all.
