Meeting Minutes

August 21, 2008

Present:

Sandy Brubaker, Shirley Moore, Iden Smith, Steve Whiteman, Jane Salisbury, Carol Rigola

 Review of Web Site Updates Process
The team reviewed the web site update process and the team proposed the following additions/changes to the process:

            Additions to the Process

Item #3 – Only a completed template, to include verbiage and photos, should be submitted to the webmaster.  All submissions will be sent electronically. 

 Item #2 – h. (i.) Photos – Photos should indicate whether they replace an existing photo on the web site or a new addition to the site.

Clarifications to the Process

Item #3 – The responsible individual or team submits the information to the webmaster.

 Item #4 – The webmaster places the information into the web design template

 Item #5 – The webmaster sends a prototype back to the originator for corrections.

 Item #6 – The originator returns the information to the webmaster with edits/comments.

 Item #7 – The webmaster posts the web page.

Webmaster Responsibilities:

Maintain and edit the website grid.

  • Area
  • Name of website
  • Primary contact person
  • Supervisory personnel
  • Date of sites last update

Timelines

  • Discuss with CQI Team and agree on appropriate timelines for web site updates
  • Webmaster will send out email notifications to primary contact person and supervisory personnel requesting web site updates

Departmental Responsibilities:

  • Provide an expiration date if information on website is date/time related
  • Provide site information within the specified period of time as requested by the webmaster, i.e. “within five days”
  • Responsible for content of area website

 Other Discussions/Comments:

A recommendation will be made to the CQI Steering Committee in October to approve, finalize and accept the Web Page Design process as an official Edison CQI process.

 Dr. Salisbury will request a meeting with Mindy McNutt and Sandy Brubaker within the next week or two to finalize the webmaster position and its focus.

Carol Rigola has accepted temporary responsibility of both the webmaster for the Edison Community College web site and as team lead for this committee.

 Sandy Brubaker will make any necessary changes to the template and will distribute this to the committee.

 Shirley Moore commented that Amanda Swigert and Kim Kiehl will provide syllabi and program sheets changes to the webmaster.
