Policies, Procedures and Process Team

September 26, 2007 at 11:00 AM, RCE Room

Members Present:   Nancy Larger, Rebekah Lawhorn, Lee, Gail, Mindy McNutt, Natalie Rindler, Chris Sargent, Mona Walters, Randi Wheaton and Carol Rigola, team lead with Jane Salisbury facilitating. 

Introduction:         Jane Salisbury welcomed the committee and began its first meeting by providing background information about how the original CQI Committee for Student Email had evolved into what is now identified as a User Account.  Dr. Salisbury elaborated on the purpose of the CQI Team for Policy, Procedures and Processes in that this committee’s primary focus is to discover and identify new and existing policies that should be put into effect with the introduction of the User Account initiative.  The team must identify departmental needs and provide rule validation by working closely with the Technology Team and other CQI Process teams.  Initial timelines will be governed by the CQI Technology Team and its progress.

Discussion:        Carol Rigola provided the committee with the following:

  • A further explanation of the committee’s charge. (Open for questions and comments)

  • Copies containing examples of the Project Management worksheets illustrating the Committee’s tasks were distributed prior to this kick-off meeting. 

                             The committee was urged to begin its review of existing institutional policies and procedures, not only in each member’s particular area or department, but in those areas they feel will be affected by the User Account changes. 

                              Raise awareness of the need for establishing new policies and procedures and rules caused by this change across the institution.

      Mona Walters mentioned the importance of our Business & Industry and our external clients and that inviting a B & I representative to the committee should be considered.

Committee Actions:

  • Contact similar institutions for information sharing about its experiences and planning stages of its single-sign on and student user account processes.  (Sargent/Walters)

  • Talk with colleagues, share ideas about their needs in this planning process.  (Committee)

  • Gather information and documents for review.  (Committee)

  • Forward all findings and discoveries (information, tasks and documents) to Carol Rigola by Friday, October 12, 2007.

  •   Compile, track and record all information into a workbook for committee distribution and feedback.  (Rigola) 

No date has been set for the next meeting.
