The purpose
of today’s meeting was to revisit the orientation modules to discuss
any necessary changes based on the feedback received from employees
who have completed the orientation process.
Surveys
indicate that the orientation process is providing a meaningful
experience for the participants. However, logistics are still a
problem even though HR has shown a 110% improvement in the
implementation of this process. How this can be remedied is unknown.
We may not be able to find a resolution to this issue.
Patti Ross
indicated that supervisors needed to be better informed regarding
who the responsible person(s) is at each step in the orientation
process. Supervisors need to be reminded of their responsibilities.
**This information (description of each module and who was
responsible for ensuring that each module was completed) was
provided in an email to all supervisors. This information is also
available in the CQI manual. Dr. Salisbury will re-send this
information as there are some new supervisors on campus.
Mona Walters
said that the checklist was unclear regarding the set-up of Datatel
accounts. It was believed that a Datatel login was provided along
with email after the LAN agreement was completed. Supervisors were
unaware that they had to request account set-up through Chris
Sergeant and Carol Marion. Mona requested that this be clarified on
the checklist. This led into a conversation regarding the placement
of certain items within their respective modules.
The
revisions to the format of the modules/checklist that are being
suggested by the team are:

Datatel Login-
currently in Module 4 should be moved to Module 2. The statement
“Supervisor must request” should be added as a reminder.

Email account and
WebAdvisor login should be provided during Module 1 (moved from
Module 4) as employees need access to these systems prior to the 4th
module.
·
Purchasing/ Travel
Reimbursement to be moved from Module 3 to Module 2 as new employees
may need this knowledge early in their positions.
Becki Murray
will make the revisions and forward them to Dr. Salisbury for
review.
There are 3
modules for which the timing is critical. These include Module
3-Tour, Module 4 (ITS) and Module 8 (Student Development.) Dr.
Salisbury will speak with Jeff Collett to see if the elements of the
ITS Module can become more conducive to the needs of incoming
employees. Dr. Salisbury will also present the suggested revisions
to the steering committee in October.
The tour
remains a source of complaints. It seems that people just do not
want to go on the tour, specifically to the Darke County Campus. It
was suggested to make participation in the tour “either/or.” If the
employee cannot make it to the scheduled group tour, then the
responsibility of seeing that the tour is completed falls to the
supervisor. The supervisor would be required to ensure that all
parts of the tour were completed prior to the end of the employee’s
first semester.
The final
source of complaints discussed was that the Student Development
module is too long. Sandy requested some suggestions from the team.
The team indicated that the presenters could try to fine-tune their
materials. The module could also include a meal. Sandy will ask the
Student Development staff to provide ideas as well.
The
Orientation team will meet again in the spring if necessary.
