CQI- Orientation Team

Today’s meeting was called to discuss concerns regarding the orientation
program that was implemented in the fall of 2003.
Dr. Salisbury recalled an email from Mary Beth Aust-Keefer, who was
concerned because the library was not included on the orientation checklist.
Discussion followed to determine to what extent Mary Beth felt that the
library should be included in this process. It was unclear if she desired a
complete module on the library and its services or if the library should be
included on the tour. Becki Murray shared that group one did tour the
library even thought it was omitted form the checklist. It was decided that
the library would be added to module three (tour).
Dr. Salisbury then addressed concerns from the CQIN 5 meeting- primarily the
fact that several people who were to complete the orientation did not. One
module group module was cancelled and supervisors are not returning
checklists to HR. The question was raised “How do we address this issue?”
Patti Ross shared concerns regarding who was required to participate as the
President stated in his address, “All new employees are expected to
participate. Those now to the college in the last year are encouraged. All
other employees are invited.”
Keith shared a list of employees who began the modules in the fall and those
who would be expected to participate in the spring. This list identified
modules completed as well as those employees that were “not required,
encouraged” or expected/ required.
Some individuals would have completed all of the modules if module 7 had not
been cancelled. Dr. Salisbury expressed that we may need to rename Module 7
(Engineered Experience.) She explained that the full-day workshop is
entirely different from the new employee module. She believes that employees
are acting under the assumption that because they may have participated in
the workshop, they are not required to participate in the orientation
module.
Other concerns regarding the scheduling of the group orientation modules
were issues involving part-time and evening employees. It was decided that
this was primarily a supervisory issue. Supervisors have the responsibility
to encourage their employees to attend all modules as well as make necessary
adjustments to their employees schedule to allow their participation.
Keith Kamerer expressed concern with monitoring of the process. He stated
that some supervisors have not returned checklists to Becky Mann. In these
instances, the personnel office is operating under the assumption that
employees have completed the modules that to be provided by their
supervisors.
Dr. Salisbury stated that there are concerns centered on mentoring. This is
an issue largely because personnel needs to be notified who is assigned to
be the employee’s mentor. HR has not received any such notification to date.
Sandy Brubaker said that she would like to have feedback from the employees
participating in the orientation modules. Dr. Salisbury and Keith Kamerer
shared that they both received some very positive emails from participants.
Becki Murray, who participated in the fall modules, shared feedback as well.
It was decided that surveys would be designed to gather this feedback. Team
members are to email Dr. Salisbury by February 5, 2004 with their initial
suggested questions. Dr. Salisbury will prepare the surveys for review.
Dr. Salisbury and Keith Kamerer will speak with Dr. Yowell to find out if
temporary employees will be required to participate in orientation
activities.
They will also be working on an email for employees and their supervisor to
address all of these concerns. This email will include the dates of all of
the modules and stress the fact that participation is required. Dr.
Salisbury stated that this email should make it clear that there is going to
be an “environmental climate change- that there is going to be a new look at
accountability. When it is said that something is expected or required, that
it means exactly that- it is expected and required.”
The dates and times of the Spring modules will be:
• Tour- February 10, 2004 11:00- 3:00
• President’s Target- February 18, 2004
• Engineered Experience- April 23, 2004 9:00- 10:30
• Student Development- March 18, 2004 1:00- 4:00
